1.-THE BOOKING CONTRACT

  • Your booking is confirmed and a contract exists when the Tour Operator or your travel agent issues a written confirmation after receipt of the applicable deposit amount. Please you have to check your confirmation carefully and report any incorrect or incomplete information to the Tour Operator or authorized agent immediately. Please ensure that names are exactly as stated in the relevant passport.
  • You will pay a deposit which is completely non-refundable in any situation. There are no exceptions.
  • You will be needed to show the original passport (not a copy) that you booked with, at the checkpoint to enter the Inca Trail and Machu Picchu. If you originally booked with an old passport and then renewed your passport, you have to also bring your expired passport along with your new, valid passport to permit entry or they will refuse your entrance to the trail.
  • The only acceptable ID to receive a Student Discount is your University Card with a clear expiration date that must be the same year as trek. IDs with expiry dates the following year, even though clearly valid, will not be accepted by the Peruvian government. You must submit a copy of this card at time of booking.

2.- BOOKING ON BEHALF OF OTHERS

By booking on behalf of other participants, you are deemed to be the designated contact person for every participant included on that booking. This means that you are responsible for making all payments due in connection with your Tour booking, notifying the Tour Operator if any changes or cancellations are required and keeping your party informed.
By booking on behalf of another person or persons, you represent and warrant that you have obtained all required consents. You are responsible for verifying that any information you provide on behalf of another participant is complete and accurate and the Tour Operator will under no circumstances be liable for any errors or omissions in the information provided to complete a booking.

3.- CANCELLATIONS

Cancellations: Your deposit is 100% non-refundable. If you need to cancel for any reason, as you approach your tour start date, there may be additional cost due. There are absolutely no exceptions (we do not accept medical notes of any kind) as our out-of-pocket expenses are non-refundable to us.

4.-INCA TRAIL TOURS

  • PERMITS: Permits for the Inca Trail are in your name and can not be transferred to anyone else under any circumstances. Change of dates is also not possible once a permit has been purchased. Permits are non-refundable and non-transferable. The deposit will be forfeited. Please note that this is a regulation of the Peruvian government and not AE (or any agency).
  • In extreme cases when the “Inca Trail to Machu Picchu” is declared closed for safety reasons, AE will replace your trek with an alternative trek.
  • Those who booked PERMITS with a Student ID must bring that ID with them on the trek. If they fail to show this card to the Park Rangers, they will not be allowed entry onto the trail.

5.-MEDICAL INFORMATION

  • You must advise peruclassictrek of any medical problems or allergies you may have. You need to be in good physical health, and if your health is questionable, then you should consult a doctor. If you are over the age of 70 years old, then you will need to present us with a current good health medical certificate.
  • You are responsible for assessing whether a Tour is suitable for you. You should consult your physician to confirm your fitness for travel and participation in any planned activities. You should seek your physician’s advice on vaccinations and medical precautions. The Tour Operator does not provide medical advice. It is your responsibility to assess the risks and requirements of each aspect of the Tour based on your own unique circumstances, limitations, fitness level and medical requirements.
  • Peruclassictrek reserves the right to deny you permission to travel or participate in any aspect of a Tour at any time and at your own risk and expense where the Tour Operator determines that your physical or mental condition renders you unfit for travel or you represent a danger to yourself or others.
  • Pregnancy is considered a medical condition and must be disclosed to the Tour Operator at the time of booking. The Tour Operator may refuse to carry pregnant women over 24 weeks. The Tour Operator may refuse to carry anyone with certain medical conditions if reasonable accommodation or alternatives cannot be arranged.
    It is strongly encouraged to purchase Travel Insurance to protect you in case of medical emergency or any tour cancellations.

6.- THE BALANCES OF TREKS AND TOURS.

  • All balances need to be paid in only cash, (the guide and the representate of the office going to the hotel) prior to the briefing which will be held the night before your tour. Visa incurs a 5% service fee and if you need to use another card, it must be through PayPal which incurs a 5.5% service fee.
  • You must advise your guide if you wish to leave the group or the camping area for independent walks or sightseeing. If you are experiencing any problems with the services of the guide or tour, please advise the guide in that moment, so that he can resolve any problems.
  • All Adventure Treks include transportation to Cusco. The return train route depends on train availability.
    If you become ill or injured on the trail and are unable to continue, a porter will be provided to accompany you back to an area with emergency assistance capabilities. Helicopter air lifts and medical assistance are at the expense of the trekker.
  • If you are unable to complete the tour due to illness, we will assist you in meeting your group at Machu Picchu to recommence your tour at that point. There will be no refund of the original payment. However, we will prepare a document to certify illness which can be presented for your travel insurance.
    Peruclassictrek will take all reasonable care in providing to our clients avoidance of accident, illness, and loss of personal property, and will only employ suitably qualified staff. We accept responsibility for the actions of our own employees.peruclassictrek cannot, however, be responsible for any action of third parties. You are totally responsible for your own personal property and rented equipment.
  • Peruclassictrek does not take responsibility for unfavorable weather conditions, natural catastrophe, strikes, accidents, illness, injury, loss of personal ítems, etc. It is the client’s responsibility to carry insurance to cover these types of events. We reserve the right to modify or cancel the program due to any of the unforeseen conditions listed above.
  • Peruclassictrek may modify your itinerary where reasonably required in its sole discretion.
    Group tours might be as large as 16 participants.
  • Groups are open to everyone no matter skill or age. By accepting a Group Tour you acknowledge that others might change the speed and timing of the tour.
  • All tours are done in English and guaranteed.

7.- DEPOSITS

At the time of booking, you must deposit 50% to purchase the tickets. a non-refundable deposit in the amount specified in the chart below, as applicable, per person per Tour is due to the Tour Operator. If the booking is made 60 days or less prior to departure, full payment is due at the time of booking. The non-refundable deposit should be sent to the Tour Operator or authorized agent, as applicable

8.- SPECIAL REQUIREMENTS

Any special requirements must be disclosed to the Tour Operator at the time of booking. The Tour Operator will use reasonable efforts to accommodate special requirements or requests but this is not always possible given the nature of the destinations visited and availability of options outside a planned itinerary. Certain activities may be inaccessible to you if your mobility is limited in any way. All food allergies and dietary restrictions must be disclosed to the Tour Operator at the time of booking but the Tour Operator cannot guarantee that dietary needs or restrictions can be accommodated. Any special requests or requirements do not form part of these Terms or the contract between you and the Tour Operator and the Tour Operator is not liable for any failure to accommodate or fulfill such requests.

9.- MANDATORY INSURANCE REQUIREMENTS

YOU MUST HAVE TRAVEL INSURANCE WITH A MINIMUM MEDICAL, EVACUATION AND REPATRIATION COVERAGE OF US$200,000 covering all applicable dates of travel with the Tour Operator. This insurance must cover personal injury and emergency medical expenses. On the first day of each Tour, a representative of the Tour Operator will verify that you have sufficient insurance in place. You are strongly recommended to extend your coverage to include cancellation, curtailment, and all other expenses that may arise as a result of loss, damage, injury, delay or inconvenience while traveling. You acknowledge that insurance coverage is not included in the cost of any Tour offered by the Tour Operator and you are required to obtain separate coverage at an additional cost. It is your responsibility to ensure that you have sufficient coverage and comply with the terms of the applicable insurance plans. You are responsible for advising your insurer of the type of travel, destination(s) and activities included in your booking so that the insurer may provide appropriate coverage.

10. DETAILS REQUIRED FOR BOOKING

As a condition of booking, you must provide the information requested by the Tour Operator along with final payment. If you fail to supply information required by the Tour Operator for air tickets, permits, or other inclusions, you will also be liable for any costs, fees or losses including failure to obtain or provide that inclusion. In the event that you fail to supply information required by the Tour Operator, the Tour Operator also reserves the right to treat your booking (or the relevant component of your booking) as cancelled and levy any cancellation fees deemed reasonable by the Tour Operator, in its sole discretion. The information required by the Tour Operator will vary by Tour and will be communicated to you or to the Tour Operator’s authorized agent during the booking process. The Tour Operator will not be held responsible for any fees you incur as a result of errors, omissions, inaccuracies, late, misplaced or otherwise incomplete information you have provided..

11. AIRFARE

Tour prices do not include international or other airfare unless expressly mentioned in the Tour’s descriptions. The Tour Operator will quote the best price available for the travel dates requested at the time the quote is prepared. Quotes provide an estimate only and are not a firm price commitment by the Tour Operator or the applicable air carrier(s).
The Tour Operator acts only as a sales agent for the applicable air carrier and the air carrier terms and conditions apply to the purchase and use of the air travel ticket. Please consult the air carrier’s applicable terms and conditions and conditions of carriage for complete information including applicable cancellation terms. The Tour Operator is not responsible for changes in air itineraries or flight times and does not provide advice or alerts regarding air travel tickets, flight status or delays.

12.- GUARANTEED DEPARTURES & CANCELLATION OF A TOUR BY THE TOUR OPERATOR

A departure date for a Tour offered by the Tour Operator will become a guaranteed departure when at least one booking secured by a valid deposit has been made on that departure.
The Tour Operator guarantees that all scheduled Tour departures booked and secured with a valid deposit will depart as indicated on the applicable confirmation, subject to reasonable itinerary changes as described in these Terms or good faith health and safety concerns. This guarantee is not applicable in the case of Force Majeure. Up to date Tour and itinerary information is available on the Tour Operator’s website or by contacting the Tour Operator. Brochures and other printed materials displaying Tour information and departure dates are subject to change may not be relied upon for purposes of this guarantee.
If a Tour is cancelled by the Tour Operator before the date of departure for reasons other than Force Majeure and the cancellation is not caused by your fault or negligence, you will have the choice of accepting from the Tour Operator:

13.- TRAVEL DOCUMENTS

It is your responsibility to obtain information and to have in your possession all the required documentation and identification required for entry, departure and travel to each country or region. This includes a valid passport and all travel documents required by the relevant governmental authorities including all visas, permits and certificates (including but not limited to vaccination or medical certificates) and insurance policies. You must have a passport that is valid 6 months after the last date of travel with the Tour Operator as set out on your itinerary. You accept full responsibility for obtaining all such documents, visas and permits prior to the start of the Tour, and you are solely responsible for the full amount of costs incurred as a result of missing or defective documentation. You agree that you are responsible for the full amount of any loss or expense incurred by the Tour Operator that is a direct result of your failure to secure or be in possession of proper travel documentation. The Tour Operator does not provide advice on travel documents and makes no representations or warrantees as to the accuracy or completeness of any information provided on visas, vaccinations, climate, clothing, baggage, or special equipment and you agree that the Tour Operator is not responsible for any errors or omissions in this information.
